iBAS Software operates the Cayamanan website. This notice explains what information we collect through this website, why we use it, and the choices available to you. Questions and privacy requests can be sent through our contact page.

Information we collect

When you send an inquiry, we may collect your name, work email, phone number, organization, location, role or decision responsibility, business type, current system, intended start timeframe, expected users, modules of interest, and the details you choose to write. Training and partner forms may also ask about participants, delivery preference, timing, service region, capabilities, experience, and training capacity.

We also store the time of consent, the page that referred you, campaign source, medium, name, content label, and original landing path when supplied, browser user-agent information, the website used, and a one-way hash based on the network address used to submit the form. Essential session and security cookies may be set so the site and forms work safely.

How and why we use it

We use the information to review and respond to hosting, Starter Pack, training, partner, and general questions; understand the requested business need; protect forms from abuse; keep a record of consent; operate and secure the website; and understand which public campaigns brought people to us. We ask only for information reasonably connected to those purposes. We do not use inquiry data for solely automated decisions.

Legal reasons for processing

The legal reason depends on the request and the law that applies. We rely on consent where the form asks for it; steps needed to respond to a requested service; legitimate interests in answering genuine inquiries, securing the website, preventing abuse, and measuring public campaigns; and legal obligations where records must be kept or disclosed. These descriptions do not decide which law applies to every visitor or situation.

Who may receive it

Authorized iBAS Software team members may review an inquiry. Service providers that host, secure, maintain, or deliver email for the website may process information only as needed to provide those services. A training request may be shared with a suitable partner when needed to assess delivery, but service and availability are confirmed separately. We may also disclose information when required by law or needed to protect rights and security. We do not sell inquiry data.

Where and how long we keep it

Because iBAS Software works in the Philippines and France and uses service providers, information may be processed outside the country where you submitted it. We use appropriate operational and contractual safeguards for the services involved. We keep information only as long as reasonably needed for the inquiry, a resulting service or contract, legal and accounting needs, dispute handling, or website security. We then delete or anonymize it when it is no longer needed. No single retention period applies to every record.

Your choices and rights

Depending on the law that applies, you may ask to access, correct, update, delete, restrict, or object to certain uses of your personal information, withdraw consent for future use, or ask for a portable copy. You may also raise a concern with the relevant privacy authority. Send a request through the contact page. We may need enough information to verify the request and locate the record.

Security and updates

We use administrative and technical safeguards intended to protect inquiry information, but no internet service can promise perfect security. We may update this notice as the website and services change. The effective date above shows the version currently published.
